## Overview

Penny Rounding automatically rounds your cash payments to the nearest $0.05 after tax, so your team never has to scramble for pennies at checkout.

Use this guide to understand how Penny Rounding works and how to enable it for SpotOn Express accounts.

## Set up Penny Rounding

1. Log in to the SpotOn Express Dashboard at [dashboard.spoton.com](https://dashboard.spoton.com).
2. Go to **Account & Settings > Payment Types**.
3. Under **Cash Payments**, toggle **Cash rounding** on. Rounding will now apply automatically — there’s nothing else to configure.

:check_mark: A success message will confirm: *Cash rounding has been enabled.*

---

## How it works

1. Totals ending in 1, 2, 6, or 7 cents round down; totals ending in 3, 4, 8, or 9 cents round up.
2. The rounded total only shows once cash is selected at checkout — switching to credit card or gift card returns to the exact amount.
3. Receipts show a separate Cash Rounding line as the last line, so customers can see exactly what changed.
4. Split payments round independently — a $1.28 total split two ways becomes $0.64 per guest, and only the cash portion rounds to $0.65.
5. If you also use Cash Discounting, the discount is applied first, then rounding — both show as separate line items on the receipt.

---

## Reporting

Penny Rounding net totals across rounded-up and rounded-down orders display in the following reporting:

- **Daily Recap** > Order Summary > Penny Payment Rounding
- **Sales Summary** > Rounding Amount

**Known gap: **Payment List & Order List in detail views show the accurate totals; however, penny rounding will not be broken out as its own line item — this is on the roadmap to add.

---

## What staff will see

At checkout, staff will see the total adjust by a cent or two only after cash is selected as the payment tender — it reverts if they switch payment tenders. Refunds on rounded orders work the same as any other refund: find the order in All Orders and select Refund All. The refunded amount rounds once cash is selected again, and the receipt reflects the rounded refund.

## Common questions

**Why do I see Cash Rounding in my reports if I never turned it on?**
The cash rounding field will appear across reports, but it can only show activity once Penny Rounding is enabled and cash transactions have occurred at your location.

**Does Cash Rounding affect card payments?**
No. Only cash transactions are rounded — credit card, debit, and other electronic payments are processed to the exact cent.

**Can I choose which direction totals round?**
No. Currently, rounding direction is predetermined and can’t be customized by location.

**Does Cash Rounding work with Cash Discounting?**
Yes — the cash discount applies first, then rounding. Both appear as separate line items on the receipt.

**Why is penny rounding implemented?**
The U.S. government stopped minting pennies in November 2025, so no new 1-cent coins enter circulation.

As a result, banks and businesses are running low on pennies. Pennies remain legal tender in the U.S., but their supply will decline over time.

Penny rounding makes it easier to complete cash transactions when exact change isn't available.

**Is penny rounding mandatory?**
No. Penny rounding is **not federally required** in the United States.

Penny rounding is opt-in; you choose when to enable it.

The feature may not be relevant to your business now, but you can enable it if you have trouble sourcing pennies in the future.

**Is penny rounding compliant? **
Yes. Rounding is applied after tax, ensuring merchants remain in compliance with tax requirements. While penny rounding is not yet mandated in the US, this penny rounding logic (rounding up or down to the nearest 5¢) is consistent with pending legislation.

**Does penny rounding affect taxes?**
No. Taxes are calculated normally. Only the final total after tax may be rounded for cash payments.

**Would my business gain extra money from rounding?**
No. Over time, rounding balances out. Sometimes the total is rounded up, and sometimes it's rounded down.

**Are item prices changing because of penny rounding?**
Individual item prices will remain unchanged; only the final cash total will be adjusted automatically.

**What if a customer wants exact change with pennies? **
Exact change will still be accepted; staff can enter the exact change provided when processing the cash payment at checkout. However, if your business doesn't have pennies on hand, exact change can’t be provided. Customers can alternatively opt to **pay with a debit or credit card** that is charged to the exact cent.

**Can I always round down in the customer's favor? **
No. Currently, only auto rounding up or down to the nearest 5¢ is supported.

**How do I refund a penny-rounded order on Express?**
Refunds are processed from the point of sale like any other refund:

1. Find the order in All Orders.
2. Select Refund All — items are added back to the cart.

The checkout total may show the non-rounded amount until cash is selected again. Once cash is selected, the refund total rounds appropriately and the receipt reflects the rounded refund amount.
