## Overview

Cash Drawer Management gives you a real-time view of your drawer activity throughout the day. You can track cash in and out, set an opening balance, perform pay-ins and pay-outs, and close out your drawer session – all from SpotOn Express POS. A full cash drawer report with all drawer activity is viewable from Dashboard.

## Before you begin

- If Cash Drawer Management is not enabled for your location yet, and you’d like access, contact SpotOn Support at (877) 814-4102 for assistance.
- Review your permission settings to require Manager PIN for opening the cash drawer.

## Cash drawer sessions

- A cash drawer session automatically **starts** when you open your cash drawer for the first time (e.g. complete a cash transaction, set opening balance, manually open cash drawer).
- Completing a drawer closeout officially **closes** that cash drawer session. Once a cash drawer session is closed, all session activity will be published in the Cash Drawer report on Dashboard.

## Set your opening balance

Your opening balance establishes the baseline for all cash tracking during the session. To ensure “Expected in drawer” calculations are correct, make sure to set your opening balance. Your drawer session’s opening balance can be edited while the session is active.

1. From the POS, tap the **☰ hamburger menu**
2. Select **Cash management**
3. Enter your Manager PIN (if required)
4. Tap **Opening balance** to automatically open your cash drawer. Count the start cash amount in drawer
5. Enter your start cash amount in drawer and **Confirm** to set your drawer session’s opening balance

## How it works

### Real-time summary

Once your cash drawer session starts, the Cash Management screen shows a live summary:

- **Opening Balance** — the amount you started with
- **Cash Sales** — automatically tracked from closed cash transactions
- **Cash Refunds** — automatically tracked from refunded cash orders
- **Pay Ins / Pay Outs / Cash Drops** — manually recorded transactions
- **Expected Balance** — the calculated total based on all cash activity

The summary updates automatically after every transaction.

### Cash Drawer actions

#### Pay in (add cash to the drawer)

Use Pay in to add cash for non-sale reasons (for example, to replenish change or record off-drawer cash).

1. Tap **Pay in**
2. Select a reason
3. Optionally add any comments (e.g., "Vendor Payment" or "Catering Deposit" for reconciliation)
4. Enter the amount
5. Confirm

#### Pay out (remove cash from the drawer)

Use Pay out to remove cash for non-refund reasons (for example, tip payouts, vendor payments, or petty cash).

1. Tap **Pay out**
2. Select a reason
3. Optionally add any comments (e.g., "Vendor Payment" or "Catering Deposit" for reconciliation)
4. Enter the amount
5. Confirm

#### Cash Drop (remove cash for safekeeping)

Use Cash Drop to move cash to a safe or back office during your shift without closing the session.

1. Tap **Cash Drop**
2. Optionally add any comments
3. Enter the amount
4. Confirm

The drawer session remains active after a Cash Drop.

#### No Sale (open the drawer without a transaction)

Use No Sale to pop the drawer for making change or a drawer check.

1. Tap **No Sale**
2. Select a reason (optional)
3. Confirm

The action is logged in your reporting. Staff at quick-service or bar locations can access No Sale directly without abandoning an active check.

### Print a summary

At any point during an open session, you can print a copy of the drawer summary:

1. Tap **Print** on the Cash Management summary screen
2. The receipt prints to your connected receipt printer

### Close out your session

1. Tap **Closeout **to automatically open your cash drawer and count your cash
2. Enter the actual cash amount counted — add a comment if needed
  - Or tap **Skip count** (blind close)
3. Review the difference (over/under)
4. Confirm to close the session

After closeout, the session is locked and a new session begins with the next cash transaction.

## Reporting

Each cash drawer session appears in your Dashboard reporting under **Accounting >** **Cash Drawers**. Reports include:

- Session open/close times
- Device
- Opening balance, expected balance, actual balance
- Over/under difference per session
- Full ledger of all Cash Sales, Pay in, Pay out, No Sale, and Cash Drop activity by employee

## What servers vs. managers will see

Servers can access Cash Management from the **☰ hamburger menu** on the POS. Depending on your settings, a Manager PIN may be required.

Managers and owners with Dashboard access can see all relevant employee actions (Pay in, Pay out, Cash Drop, No Sale) on the Cash Drawers report with the employee name, amount, and timestamp.

## Faster ways to open the cash drawer

- **Pin to Quick Actions:** You can pin the "Open cash drawer" button to the top level of the hamburger menu so it is accessible without entering the Cash Management sub-menu.
  - In the **Dashboard**, go to **Account & Settings** > **Employee POS Permissions**.  
 Find the **Open cash drawer** permission and toggle **Show on POS** to "on."
- **No Sale on Active Check:** You can tap **No Sale** directly from the active check screen. This allows you to open the drawer without leaving the current transaction.
- **Standard Method:** Tap the **hamburger menu (☰)** > **Cash Management** > **No Sale**. This requires selecting a reason and may require a Manager PIN depending on permissions.

## Frequently Asked Questions

**Can I adjust the opening balance after the session has started?**  
Yes — you can update the opening balance at any time during an active session. Navigate to **Cash management > Opening balance**, enter the corrected amount, and confirm. The change is logged in the ledger.

**Can I edit a session after it has been closed?**  
No. Once a drawer session is closed, it cannot be edited. You can review the session in Dashboard reporting for reconciliation.

**What is the difference between a Pay out and a Cash Drop?**  
A Pay out removes cash for a specific business reason (for example, vendor payment or tip payout). A Cash Drop moves cash to a safe for safekeeping mid-shift — both reduce the expected balance and are logged separately in reporting.

**Can I print the drawer summary before closing?**  
Yes. The summary can be printed at any time from the Cash Drawer screen without closing the session.

**Can I customize No sale, Pay in, and Pay out reasons?**  
No. No sale, Pay in, and Pay out reasons are preset and cannot be customized. However, a current workaround is the optional comment when performing a Paid In or Paid Out to provide specific details (e.g., "Vendor Payment" or "Catering Deposit" for reconciliation).

## Things to know

- Drawer sessions are device-specific — each POS station tracks its own drawer independently.
- A cash drawer session can remain open across multiple fiscal days if not closed.
- The drawer cannot be closed when the POS is offline. Wait for connectivity to return, then retry closeout.
