## **Overview** 

The Payroll Detail Report provides data on all of your employees' time worked during a specific time period. It shows detailed information for each shift an employee worked, as well as totals for the time period you've chosen. This report  exported as an Excel or .CSV document.  

The Payroll Summary Report is much simpler, and gives more of an overview to your employees' time worked.  This too can be  exported as an Excel or .CSV file.

There are three ways to adjust time clock entries for SpotOn Restaurant:

- On the** POS** under Show Commands → Adjust Time Clock
- In the **Back of House** under Time Clock Entries

- Ensure the correct date range is selected before searching for the employee.

**Why do an employee's hours appear duplicated or incorrect in Payroll?**

Payroll discrepancies can occur when punches are missing, duplicated, assigned to an unexpected business day, or when reporting data does not align with time clock records.

**Common causes include:**

- Missing clock-in or clock-out punches.
- Duplicate clock-in entries that create overlapping shifts.
- Overnight shifts that cross midnight and are assigned to a different business day.
- Employees clocking in before the location's configured **Start of Day**, causing hours to be attributed to the previous business day and potentially appearing as a duplicate or overlapping shift.
- Manual edits made to employee timecards.
- Timecard entries that are incorrectly paired during payroll calculations.
- A duplicate End of Day (EOD) process, which may cause payroll totals, tips, or sales data to appear duplicated.
- Synchronization delays between the POS and Restaurant Reporting.

**If an employee's hours do not appear correct:**

1. Review the employee's complete timecard history for the affected dates.
2. Verify that all clock-in and clock-out punches are present.
3. Check for overlapping or duplicate entries.
4. Confirm the location's **Business Day / Start of Day** settings.
5. Review any manual edits made to the employee's timecard.
6. Compare the employee's Time Clock Entries in BOH with the Payroll Detail report in Restaurant Reporting.
7. Review Closeout Reports if tips or sales totals appear duplicated.

> ℹ️ **Note:** If the employee's punches appear correct in BOH but Payroll is still calculating hours incorrectly, gather screenshots of the employee's timecard and Payroll report and contact Support for further investigation.

**Can I edit an employee's clock-in or clock-out time?**

Yes. Select the employee's entry date within the Payroll report to open the Edit Entry window. From there, you can adjust clock-in times, clock-out times, breaks, job positions, pay rates, and tips.

**Can I add a missing time clock entry?**

Yes. Select **Add Entry** to manually create a new time clock entry for a missed clock-in or clock-out.

**Can I delete a time clock entry?**

Yes. Open the employee's entry and select **Delete Entry** to remove the timecard record.

**Why doesn't an employee appear in the Payroll report?**

The Payroll report only displays employees who have at least one time clock entry during the selected date range. Verify the report's date filter and confirm that the employee has recorded time during that period.

**Do payroll edits affect employee wages?**

Yes. Changes to hours worked, job positions, pay rates, breaks, or tips can impact payroll calculations and employee compensation. Always review edits carefully before processing payroll.

**FAQ: Why do employee hours appear as decimals in Restaurant Reporting?**

Restaurant Reporting displays employee labor hours in **decimal format** rather than hours and minutes. This format is used to ensure accurate payroll and wage calculations.

To convert decimal hours to hours and minutes:

- The number before the decimal represents the total hours worked.
- Multiply the decimal portion by **60** to determine the minutes worked.

**Example:**

- 8.32 hours = 8 hours + (0.32 × 60)
- 8.32 hours = 8 hours and 19 minutes

**How can I verify an employee's worked hours?**

To view the exact clock-in and clock-out times:

1. Navigate to **Restaurant Reporting**.
2. Select **Labor > Payroll**.
3. Locate the employee's shift.
4. Click the **Date** to view the detailed time entry.

This will display the actual punch times used to calculate the employee's total hours worked.

> ℹ️ **Tip:** If the decimal hours shown in the report do not match your expectations, review the employee's clock-in and clock-out times first. Also verify the location's **Start of Day** setting, as shifts that cross the business day boundary may be split between reporting periods.

**Can employees view their accumulated weekly hours directly on the RPOS POS?**

No. RPOS does not provide an employee self-service option for viewing accumulated weekly hours directly on the FOH POS. Employee hours can be reviewed through the **Payroll Detail** and **Payroll Summary** reports in SpotOn Restaurant Reporting.

The **Adjust Time Clock** options in FOH and BOH allow permitted users to review or modify individual time clock entries, but they do not provide employees with a cumulative weekly-hours view.
