# Overview 

The** Payroll Report **in the SpotOn Express Dashboard provides a detailed summary of total hours worked, wages, tips, and payroll identifiers for each employee and job position. It also includes a summary view highlighting total employees, hours worked, overtime hours, and compensation totals. 


**To ensure accurate payroll data:**

- Employees must have an assigned Job Position and wage rate.
- All staff must clock in and out using the [Express Time Clock feature](https://help.spoton.com/space/SK/3683713025/Clock+In+and+Out+for+Shift+and+Breaks+%7C+SpotOn+Express+(FOH)).
- Export reports regularly to maintain accurate payroll records and reconciliation.

## 💡 **Tips **

- Verify each employee’s **Job Position** and **wage rate** in the **Employees** section of the Dashboard.
- Confirm that employees are clocking in/out correctly on the **Express POS**.
- If hours or wages appear incorrect, review **Time Clock entries** before exporting the report.

# Frequently Asked Questions

**Why is an employee missing from the Payroll Report?**  
Ensure the employee has a **Job Position** and wage assigned, and that they clocked in and out using the **Express Time Clock**.

**Why are some shifts listed as “Unassigned”?**  
These shifts are not linked to any **Job Position**. Assign a Job Position to ensure accurate reporting.

**Can I view payroll for custom date ranges?**  
Yes. Use the **Date Selector** in the upper-right corner to choose any range within your payroll history.

**Why don’t I see an Auto gratuity column?**  
The column appears only when automatic gratuity is enabled for your location. Turn it on in **Account & Settings** > **Orders & Tips** > **Auto Gratuity**, and confirm that auto gratuity is set to be included in payroll.

**Is auto gratuity included in Total comp?**  
Yes. Auto gratuity is added into each employee’s **Total comp** alongside wages and tips owed. It is shown in its own column because gratuity is taxed differently than tips.

**Does auto gratuity follow my tip pool rules?**  
Yes. Auto gratuity is pooled and split using the same rules as credit card tips, but it is calculated separately and reported in its own column.

**I use a custom fee named “Auto Gratuity” instead of the auto gratuity setting. Will it show up?**  
Yes. A percentage-based custom fee named exactly **Auto Gratuity** is included in the Auto gratuity column.

**Why do the tip amounts in my Payroll Report keep changing?**

Tip Pooling calculations refresh each time the **Payroll Report** opens. Numbers may change during the day as new **credit card tips** arrive or employees are **added or removed** from the pool. Tip amounts from **previous days** remain unchanged. Values finalize once the **fiscal week closes. **

**Why did the previous day's tips change?**

A refund or change to a tip amount may have been processed, or there may have been **retroactive corrections** to time clock entries. If these updates occur, managers can apply the adjusted totals on the **next payroll cycle** if needed.

**Note:** Adding or removing employees or job roles will immediately affect tip distribution, but adjustments will not change previous days' reports.
